EMAIL - A Typical Account setup using Gmail and Outlook Express
You'd be surprised as to how many people don't know how to setup an email account.
Well, here is a straight forward example with some explanations as to why it's done.
The following ONLY applies to setting up email account using OUTLOOK EXPRESS, not OUTLOOK.
This example will show you how to setup Google's Gmail. It is assumed that you already have a Gmail account
otherwise these entries will not work.
The advantage of using either Outlook Express or Thunderbird is that your emails will be stored directly on your system
the same way that they would be using an email account from your ISP - Internet Provider.
The alternative is to simply have your emails and their associated attachments via the Internet browser until of course
you have reached the capacity limitation the Gmail or Hotmail or Yahoo offer you.
First thing to do is to start Outlook Express. Then click Tools on the menu, then Accounts.
Then click the MAIL (tab), then on the right click ADD - MAIL.
In the first screen that appears you should enter YOUR NAME - gmail or my_email_address@my_isp.tld, click next.
I like to add the "- gmail" to the end because I have multiple email accounts and it helps to distinguish
between them. The email address never has embedded spaces and although case does not matter, I usually enter
it using lower case characters.
You will note the blue 1 in the picture, if this were a Hotmail account, then OUTLOOK EXPRESS has a special place for
separating the email for that, and you would see the Hotmail folders there.
The red 2 is the label area for each account that you setup. In this case it should show you
YOUR NAME - gmail just as you entered it in the first screen and should also be shown in the area with the
red 3.
In the next window that appears, you enter the actual email address, whatever@gmail.com, click next.
For the next window, follow the example shown below because it is asking for the mail server information that applies
only for gmail.
Using an email account from your ISP, you might have been finished here but for gmail you still have to make a few
minor changes. Click Tools on the menu, then Accounts, then click the MAIL (tab).
Then click once on the new gmail account that you just setup and on the right click properties.
The first screen that you see shows you the information that you just entered.
If the name field does not show your name but shows your email address, then anyone who adds you to their address book
will have to manually correct the information. For etiquette, please use your name here if it not correct.
You don't have to fill in the organization field, this is optional.
To add some additional protection that you are not a spammer, simply copy the EMAIL ADDRESS and paste it into
the REPLY ADDRESS.
The next screen requires your account name which is normally the first part of your email address before the @.
Then enter the password that you will use to access the gmail account just as you do when you log into gmail using
the web browser. You will only see dots representing the characters.
If you are the only user for the system, then you can click on the Remember Password unless you prefer to enter the
password everytime you attempt to receive your emails.
In some cases, other mail servers will require that you check the Log on using SPA but for gmail that is not necessary,
click next and then Finish.
Additionally, some hosting companies email servers are setup to require a check in the My Server requires authentication
just as Gmail does.
you should only see the email accounts being checked when you click on the SEND/RECV button like below.
Finally, using your Gmail through your browser, you may also have to tell gmail that you want to also access your email
by using the outlook express email client, by going to your account, clicking on options, and then click on ENABLE IMAP.
If you receive an error message, write it down exactly as you see it!!! This will help you or the person you ask for help
to solve the problem quicker.
To test your new email account, simply click the SEND/RECV button shown on the toolbar.
As a matter of fact, you can even create a new email placing your email address in the TO area and send yourself the email for a
more complete test.
If you see a WINDOW asking you for your login and password, ENTER IT INTO THE WINDOW, it means that you did not check the
remember password box or provide some information regarding your account correctly. Do not go to the settings above to do this.
If everything works, then you should see your emails downloading from Gmail to your system into your local folder's Inbox.
